Terms and Conditions

1. Contract

Booking an adventure with us means you agree to all the terms and conditions listed below. This is our binding contract.

2. Deposit

You are required to pay a non-refundable deposit of $200 per person per trip to confirm your booking with us.

3. Booking Acceptance and Final Paments

After you book your trip and pay the deposit, we will issue a confirmation invoice. Please refer to your invoice for details regarding final payments. In most cases, payment of the remaining balance is due on arrival in Kathmandu. We reserve the right to cancel your booking if this balance is not paid then.

4. Personal Information

You must provide all requested information in order to process your paperwork for permits and fees. Information such as full name as per passport, date of birth, nationality, passport number, passport issue and expiry date, and any pre-existing medical conditions are required. Please understand that your booking cannot be confirmed without provision of these details.

5. Cancellation

If you wish to cancel your spot, we must receive a written confirmation of the cancellation 48 hours prior to trip departure. We will refund your payment minus the deposit and any fees incurred during processing.

In an event that the trip is cancelled by Mighty Yak Adventures for any reason, we will refund all fees including the deposit. We will also make a sincere effort to help you make other trip arrangements if this is the case.

6. Booking Amendments

If you wish to make any changes to your booking or transfer from one trip to another you must notify us at least 30 days prior to your trip departure date. No additional fees will be charged.

A fee of $200 will be charged if you notify us less than 30 days prior to your trip departure date.

7. What’s Included

  • One day sightseeing UNESCO Heritage Sites in Kathmandu.
  • Twin share rooms.
  • All public transportation and trip arrangements (including permits and fees).
  • Trekking map of the region.
  • Pre-departure support and advice from Bikram by email, phone or Skype meetings.

8. What’s not Included

  • International flight to/from Kathmandu.
  • Travel & trekking insurance.
  • Nepal entry visa.
  • All meals except Breakfast in Kathmandu.
  • Adventure Activities/ Porter (optional) fees.
  • Personal clothing & equipment.
  • Gratuity.
  • Everything else not listed in ‘What’s Included’.

9. Age and Health Requirements

The minimum age for our participants is 18. We do not have a maximum age limit but be advised that all of our trips are physically demanding and require high altitude acclimatization. Participants over 65 years are requested to fill out a Self-Assessment form to determine level of fitness. We want to ensure you are physically and mentally fit so that all participants have a great experience.

All participants must consult with Bikram about any medical conditions they may have prior to confirming your booking with us.

10. Passport, Visas and Permits

Your passport must be valid for at least six months after the duration of the trip. Participants are responsible for obtaining a visa for the duration of their stay in Nepal. It is pretty easy to apply for one on arrival at the Tribhuvan International Airport in Kathmandu. Check the Nepal Department of Immigration website (www.immi.gov.np) for the latest regulations, visa fees and other points of entry (if arriving via land). You can also download the visa application form through their website to save time at the airport. Also, bring at least eight passport size photos and exact dollar amount for the visa.

We organize and pay for all permits required by the Nepalese Government to enter into the trekking regions. Once your booking is confirmed, we will get in touch with you to collect all the necessary documents required for processing.

11. Travel Insurance

Travel insurance is not mandatory but highly recommended. Besides trekking/ outdoor activities insurance, you should make sure you’re covered for emergency medical evacuation at high altitudes. Check the ‘highest elevation’ information for your trip in case you need to report that to your insurance company.

12. Itinerary and Flexibility

The beauty about our adventures is that there are no set “day-to-day” itineraries. We pick the region and duration and let the participants build the itinerary as a team under the guidance of Bikram, the team leader.  We believe this works for the better because it encourages group participation and offers flexibility to tackle factors (such as strikes, acclimatization etc.) that are beyond our control. However, Bikram will have the final say in approving/ rejecting the proposed itinerary changes for purpose of staying on track.

You need to acknowledge that the nature of this type of travel requires considerable flexibility. Please understand that the route, schedules, amenities and mode of transport may be subject to change without prior notice due to local circumstances or events.

13. Authority

All of our adventures are run by Bikram, your team leader. The decision of your team leader is final on all matters likely to affect the safety or well-being of participants. You may be expelled from the trip, with no right to refund, if you cause interference to the well-being/ mobility of the group, or fail to comply with decisions made by Bikram. You must comply with the laws, customs, and regulations of Nepal, and also agree to travel in accordance with our cultural and environmental guidelines.

14. Participation Disclaimer

Participants should be aware that adventure/outdoor activities and travelling in Nepal ( a “not so developed” country) involve potential risks and dangers such as personal  injury, damage to property or death. Once your booking is confirmed, you must accept these risks and take full responsibility for your participation.

We advise our participants to be prepared for the worst. Besides risk of high altitude sickness, you will encounter hair raising public transportation, landslide/ falling rocks hazard, over-loaded yaks and mules on narrow trails, and unpredictable weather. In case of emergency hospitalization while in the remoteness of the Himalayas, you need to understand and accept that evacuation might not always be possible. Evacuation by Helicopter is the fastest method but not always guaranteed due to lack of availability or poor flying conditions.

15. Optional Activities

Activities such as paragliding, mountain biking, bungee jumping, etc. are optional  and not included in the price of the trip.

You accept that your participation in optional activities does not render us liable for them in any way. The contract for the provision of those activities will be between you and the activity provider.

16. Complaints

If you have any complaints about your trip please inform Bikram right away who will sincerely attempt to rectify the matter. If satisfaction is not reached immediately then the issue will be dealt with after the trip.

17. Usage of Media

You consent to us using photos/ videos of you taken during the trip for advertising and promotional purposes in any medium we choose. You grant a perpetual, royalty-free, worldwide, irrevocable licence to use such media for publicity and promotional purposes.

18. Privacy Policy

Any personal information that we collect about you to organize the trip may be used to send you marketing materials in relation to our events and special offers. We will not disclose your personal information to anyone other than people/ organization that enables us to operate the trip.
